Matric Qualification; an accredited Secretarial/Office Administration Diploma at least 3 years relevant experience in rendering administrative support services to management. At least proficiency in two of the three official languages.
Provides support to the Director by managing the Director’s diary and work schedule . Responsible for planning, compiling and managing day and week schedules, including travel itineraries; Handle telephone calls and enquiries for the Directorate. Provide secretarial support to the Director, which includes procurement, claims, record and asset management and recording minutes of meetings; Planning and organizing workshops and facilitated events . Collate and ensure agendas and documentation for meetings are submitted well in advance. Establish and maintain procedures and processes to support the smooth functioning of the Directorate. . Administer effective processes, systems and documentation (i.e. Issue Management System (IMS), Submissions, Minutes and Circulars) . Render functions related to Human Resources for eLearning Directorate. Remains up to date with regard to prescripts/policies and procedures that apply to the organization and the eLearning directorate to ensure efficient and effective support to the manager
Good office and financial administration. Computer literate in MS Office Suite (Word, Excel, Outlook) and fully aware of good social media etiquette.
• Knowledge of financial systems (BAS and PERSAL), IMS and J-track will be an advantage
Reliable and punctual, able to work under pressure. Language skills and the ability to communicate well with people at different levels and from different backgrounds. • Good telephone etiquette. Sound organisational skills. Good people skills. Ability to act with tact and discretion.
